Spread the Word Nevada was formed in July 2001 by Co-Founders, Laurie Hartig and Lisa Habighorst.

Spread the Word Nevada is dedicated to advancing early childhood literacy by placing books into the homes of children within Nevada’s at-risk, low income communities. Through community collaboration, mentorship and family partnership programs, Spread the Word Nevada fosters reading and language development opportunities ultimately leading to brighter academic and economic futures for these children. Spread the Word Nevada has various programs that they support, coordinate and facilitate to advance childhood literacy. Programs include the Kids to Kids program, the Breakfast/Snack Time with Books program, the Books & Buddies program, the Books on Break program. Currently, the Organization’s programs are being implemented, supported and utilized throughout a continuously growing number of elementary schools throughout the Greater Las Vegas Valley and Washoe County, Nevada.

Position Summary
The Director of Finance and Administration position exists to provide financial direction and accountability for the organization as well as perform administrative duties such as Human Resources, as required.

Essential Functions and Responsibilities

  • Maintaining responsibility for all financial management, including monthly financial compiled statements, accounts receivable, accounts payable, payroll, general ledger, bank reconciliation, and tax payments
  • Responsible for completing all monthly closing functions
  • Performing fiscally responsible budget preparations and pro-forma financial statements; monitoring expenditures
  • Developing strategic financial plans and objectives for the business
  • Maintaining constant communication, overseeing, and evaluating third party vendors related to the financial functions of the business
  • Ensuring all financial reporting is accurate and complying with established accounting procedures and policies
  • Oversee Bookkeeper’s reporting of fixed assets, which includes maintaining the fixed asset system
  • Responsible for cash management activities, including monitoring cash flow on a continual basis, preparing bank reconciliations, auditing cash receipts, and auditing accounts receivable
  • Oversee and audit Bookkeeper’s preparations of the operational financial and management reports on a monthly, quarterly, and annual basis
  • Preparing statistical reports and management indicator reports on a daily, weekly, monthly, quarterly, and annual basis.
  • Preparing current and comparative analysis reports and statements reflecting variations in costs and revenues.
  • Establishing and maintaining a positive working relationship with clients, agencies, and coworkers to promote a quality service image
  • Assisting with other special Accounting/Financial projects from time to time
  • Researching and resolving financial-related questions, concerns, and problems for clients in a friendly and timely manner
  • Oversee 401(k) account for fiduciary compliance, including but not limited to participation compliance and annual Form 5500 completion
  • Manage investment CD’s and ensure current rates are highest available in current market. Evaluate rates on a renewal basis.
  • Payroll
    • Review semi-monthly payroll before and after processing to ensure accuracy and provide backup and PTO support to the Office Manager
    • Direct the relationship with the 3rd party payroll processor and act as primary contact
    • Prepare and process semi-monthly payroll and prepare related journal entries
    • Oversee the organizations online timekeeping software for employees
    • Support employees in payroll inquiries
    • Oversee the processing and tracking of all PTO requests
  • Annual Budget
    • Development annual budget for organization
    • Prepare and implement annual budgetary process
    • Support staff with budgetary information, analysis and accountability
    • Ensure accuracy of budget data that is entered into the accounting system annually
    • Complete other financial or budgetary projects as requested
    • Print and disseminate the monthly financial statements, update dashboard and support staff in evaluation
  • Other duties may be assigned at the discretion of the Executive Director that are related to the fundamental aspects of the Director of Finance and Administration or related positions.

Human Resources and General Administration

  • Responsible for annual reviews and makes recommendations to Executive Director for improvement of the organization’s policies, procedures and practices on personnel matters
  • Maintains knowledge of industry trends and employment legislation and ensures organization’s compliance
  • Maintains responsibility for organization compliance with federal, state and local legislation pertaining to all personnel matters
  • Communicates changes in the organization’s personnel policies and procedures and ensures that proper compliance is followed
  • Assists Executive Director in the annual review, preparation and administration of the organization’s wage and salary program
  • Coordinates or conducts exit interviews to determine reasons behind separations
  • Consults with legal counsel as appropriate, or as directed by the Executive Director, on personnel matters
  • Recommends, evaluates and participates in staff development for the organization
  • Develops and maintains a human resource information system that meets the organization’s personnel information needs
  • Assist Executive Team with coaching and counseling employees; addressing employee complaints and resolving problems as needed
  • Supervises Office Manager and Receptionist as well as the Bookkeeper and HR Consultant, who are outsourced and contracted vendors
  • Onboarding of all new employees
  • Interviewing, hiring, and training direct report employees
  • Participates on committees and special projects and seeks additional responsibilities as required
  • Represent the Finance and Administration department at executive staff meetings
  • Relay information from these meetings to appropriate parties within the Finance and Administration department when appropriate
  • Assist Executive Team with panel/group interviews as needed. Assist Executive Team with coordinating interviews as needed
  • Conduct annual evaluations for direct reports
  • Other duties may be assigned at the discretion of the Executive Director that are related to the fundamental aspects of the Director of Finance and Administration or related positions.

Education and/or Experience Requirements

  • Bachelor’s degree required in business administration or 3-5 years of related experience in finance and administration management
  • Certified Public Accountant preferred
  • SHRM Senior Certified Professional (SHRM-SCP) or SHRM Certified Professional (SHRM-CP) credential preferred or 3-5 years of related Human Resource management experience
  • Knowledge of Federal and State wage and hour regulations and employment laws
